Operations and Administration Assistant
2023 Woods Hole Film Festival


The Operations and Administration Assistant is responsible for assisting with operations and administration of the Woods Hole Film Festival working under the supervision of the Executive Director.


  • Must embrace the mission of the Woods Hole Film Festival and have a commitment to excellence.
  • Must have strong interpersonal communication and writing skills.
  • Must be organized, detail oriented and comfortable multi-tasking in a fast-paced environment.
  • Must have knowledge and experience in Festival Operations and Administration.
  • Must possess the skills to work with and motivate staff, board members and volunteers.
  • Must have the desire to organize events under the umbrella of the Woods Hole Film Festival and retain and build both internal and external relationships to help grow the organization.
  • Must be a leader and goal driven.
  • Must be organized and exhibit follow through on tasks and goals.
  • Must display a positive attitude, show concern for people and community, demonstrate presence, self-confidence, humor, common sense and good listening ability.
  • 2 years minimum experience in non-profit event management and administration.


  1. Assist with oversight, management and administration all aspects of Festival Operations for the summer Festival.
  2. Assist Festival Director with overall Festival administration.
  3. Assist with Festival Communications, including internal and external.
  4. Assist with Member stewardship and development.
  5. Assist with Donor stewardship and relationship management.
  6. Manage Festival merchandise.
  7. Under the Supervision of the Director of Operations, assist with management of the Festival ticketing system and work in collaboration with other Festival staff the assure functionality and quality control of ticketing system and virtual streaming platform.
  8. Liaison to Festival guests and sponsors.
  9. Perform other related duties as requested.

This position is a six month contract from March 1, 2023 through August 31, 2023 with the opportunity to expand into a full-time position. Hours and work location requirements will vary. From March 1, 2023 through May 1, 2023, the work may be performed both remotely and in-person pursuant to a schedule arranged with Executive Director. From May 1, 2023 through August 31, 2023, the position will be in-person at the Festival office in Woods Hole. Compensation commensurate with experience.


  • BA (required), MA (a plus)
  • Two-plus years previous experience in non-profit Festival Operations and Administration
  • Demonstrated excellence in organizational, managerial, and communication skills
  • Knowledge of Adobe Suite, Airtable, Elevent Ticketing, Cinesend streaming platform, word processing and other information management tools as needed.
